Texas A&M University Transportation Services Transit provides charters as an
auxiliary service. This service is provided on a limited basis and in combination
with the availability of resources. Under certain conditions, Transit may provide
service to organizations that are not directly affiliated with Texas A&M University
organizations. A non-affiliated organization may request charter services from Transit
provided the following criteria apply:
- The organization applying for service is affiliated with the cities of Bryan or
College Station, the local school districts, or is another governmental agency.
- A commercial vendor is not readily available to provide service. Texas A&M University
Transportation Services Transit will not be in competition with another service
provider.
- The organization agrees to pay in full the amount billed for services rendered.
If your organization meets the above criteria, please read and agree to the statement
below to complete the Charter Request Form. The information gathered on the form
will be used to determine if Transit may provide service to your organization. Notice
of approval or denial will be given upon review of the information.
To the extent allowable by law, your organization agrees to indemnify and hold harmless
The Texas A∓M University System and any of its components, officers or employees
from any claim, demand, or suit whatsoever, whether based upon personal injury,
including death, or property damage, or otherwise, which relate in any way to services
provided by Transportation Services. By clicking the button below, Requestor warrants
that Requestor has authority to bind the Organization to the agreement.
Charter Service Policy
The Transit area of Transportation Services offers charter services in support of
the educational, research, and business functions of Texas A&M University. Buses
may be chartered by departments, officials, affiliated social organizations, affiliates
of the cities of Bryan and College Station, school districts, or other governmental
agencies. Approval for chartering organizations is at the discretion of Transportation
Services management and upon the availability of vehicles and personnel.
Buses are available with capacity for 35 passengers. Several of our buses are handicap
accessible; this service is available upon request. Our buses are air-conditioned
but not restroom equipped.
The charter rates will differ for affiliates and non-affiliates as well as between
local and out-of-town charters. These rates will be charged if the bus is in motion
or sitting still, and includes the driver, fuel, and mileage. Several pick ups may
be spread out over the day, however, if there is not enough time in between pick
ups for the bus to be used for other needs, the initial chartering group will pay
for the lost time. A representative for the chartering department must be on the
bus. Charters lasting more than 24 hours will be charged for a minimum of 16 hours
of use each day. If the bus is exceptionally dirty when returned, an additional
cleaning fee will be assessed. In accordance with University policy, no alcohol
or tobacco products will be allowed on the buses. All charters are to be arranged
through the Transportation Services charter representative who may be reached in
the following ways:

Charters must be booked a minimum of two weeks in advance. A $75 late fee will be
added to all charters booked less than two weeks in advance. Because of the difficulty in projecting labor and bus availability, charter requests will not be taken more than 3 months in advance of the date the charter is needed. Booking a charter includes
providing a full and finalized schedule. Changes made less than one week in advance
will not be guaranteed. All changes must be confirmed through the Transportation
Services charter representative. Transportation Services will not accept charter
requests received with less than seventy-two hours notice. This policy will help
ensure our ability to fulfill requests.
There is no charge for charters canceled 24 hours prior to departure time. It is
the chartering group’s responsibility to call and cancel the charter with the Transportation
Services charter representative. There will be no exceptions. Chartering groups
canceling less than 24 hours prior to departure time will be charged a 3-hour minimum.
