Major/Essential Duties of Job The Administrative Assistant is responsible for providing administrative support to the Parking Facilities and Maintenance Unit Manager, Parking Facilities and Maintenance Unit Assistant Manager and supervisory staff. Responsible for managing the office activities and providing necessary support. Serves as the point of contact for office equipment and supplies. Maintains receipts and reconciles procard statements. Serves as a personal assistant to the Parking Facilities and Maintenance Manager and Assistant Manager. Serves as office manager for the Parking Facilities and Maintenance Unit. Supervises the daily office support activities and assists all staff within the unit with administrative matters. Provides administrative support for specialized activities or projects. Plans and provides logistical and administrative support for events, meetings (staff meetings), or other special functions, including on-site support. Provides agendas and staffing assistance to meetings. Orders food for home football games. Develops, evaluates, and ensures adherence to office procedures. Monitors office procedures to eliminate duplication of efforts and to streamline the flow of operations. Maintains office supplies, office keys, and equipment. Researches, compiles, and applies information.
Occasional Duties Serves as a coordinator between various areas for duties such as: ensuring that EEO/Ethics tests are completed in a timely fashion and keeping HR notified of such and ensuring necessary paperwork related to HR and Payroll are created and forwarded. Works on special projects as needed. Prepares presentation and communication materials for the unit. Serves on departmental committees. Supervises the creation, maintenance, and retention of office files and records. Works with departmental records retention representative regarding destruction of appropriate files and records. Helps attend pre-construction meetings, when needed, and coordinates contractor parking agreements. Provides inventory control. Schedules projects with Customer Service.
Required Education and Experience •High school diploma or equivalent combination of education and experience. •Four years of experience in general office or clerical work.
Preferred Education and Experience •Bachelor’s degree. •Seven years of experience in general office or clerical work including some supervisory experience. •Certified Administrative Professional (CAP) •Working knowledge of presentation software programs.
